Gmail filters for Dubai property owners: DEWA, DLD and developers

Short answer. Create three Gmail labels (DEWA, DLD/Ejari, Developers) and a filter for each by sender domain: dewa.gov.ae, dubailand.gov.ae and your developers' domains. In each filter tick "Never send it to Spam" and "Categorise as: Primary" so bills stay out of Promotions. Then add one label per unit, filtered by unit number, DEWA account number or premise number.

Step 1. Labels

Use nesting: Settings → Labels → Create new label → Nest label under.

Step 2. Filters by sender

How to create a filter (per Google's help): search box → Show search options → enter criteria → click Search first and check the right emails show up → Create filter → choose actions.

Actions for each filter: apply the label; never send it to Spam; categorise as Primary; optionally always mark as important. Tick "Also apply filter to matching conversations" so existing mail is sorted too.

Verified developer and government domains

Only addresses published on the official websites. Mail can also come from other domains (CRM tools, payment gateways), so add to the list from your real emails.

Not verified: the exact address DLD uses to send Ejari certificates and Mollak invoices. That is why the filter covers the whole dubailand.gov.ae domain. We did not verify community manager domains or Empower; take those from your own emails.

"Developers" filter string (keep only your developers):

Step 3. One label per unit

Use the "Has the words" field. Unit numbers are written in different ways, so list the variants with OR:

Here 2001234567 stands for a DEWA account number and 123456789 for the 9-digit premise number on the door. Use your own numbers from the DEWA bill and Ejari.

Step 4. The quick way: filter from a real email

Open an email (say, from your community manager) → select it → More → Filter messages like these. Gmail fills in the sender for you. This is the easiest way to add domains that aren't in the table.

Step 5. Import ready-made filters

Gmail can import filters from a file: Settings → Filters and Blocked Addresses → Import filters. We prepared a file with three filters (DEWA, DLD-Ejari, Developers): gmail-filters-dubai-owner.xml. Remove the developers you don't deal with before importing.

Step 6. Auto-forward the labels to another address (e.g. your Folio address)

If property mail should be handled by a second inbox, an assistant or a service (for example your Folio address), a filter can forward it. Per Google's help:

1. Settings → See all settings → Forwarding and POP/IMAP → Add a forwarding address, enter the address.
2. Gmail sends a verification link to that address. Open it in that inbox and confirm.
3. Don't turn on forwarding of all mail. Instead open the filters from steps 2–3 → Edit → tick "Forward it to" and pick the verified address.
4. Only new messages are forwarded. Forward older ones by hand.
5. For the first week Gmail shows a "You are forwarding your email to…" notice. That's expected. If you never set it up, change your password straight away.

Telling real mail from phishing

• DEWA tells customers to verify the sender address and domain. Its bills come only from noreply.greenbill@dewa.gov.ae.
• The domain must match exactly: dewa.gov.ae is real, dewa-gov.ae.example is not.
• In Gmail: ⋮ → Show original. Genuine mail shows SPF, DKIM and DMARC as PASS.
• Check payment details against the SOA and the project's escrow account, not against the email text.

Manual filters work, but unit numbers are written inconsistently and new senders keep appearing. Folio does this sorting itself: forward the labels to your Folio address (step 6) and it finds the unit, date and amount in each email and files the document under the unit.

FAQ

Will the filter sort old emails? Yes, if you tick "Also apply filter to matching conversations" when you create it. Without it, the filter only applies to new mail.

Why do DEWA bills land in Promotions? Gmail picks the category on its own. In the filter choose "Categorise as: Primary" and "Never send it to Spam".

Is one filter enough for all developer mail? To start, yes. But developers sometimes send through CRM platforms on a different domain. Once a month check for developer mail without a label.

Does this work in the Gmail app? Filters are created in Gmail on a computer, but they apply everywhere, including the mobile app.

Should I forward this mail to another inbox? Not necessary: labels work on their own. Forwarding helps when someone else handles the mail (an assistant, an accountant, a service). The address is verified by link first, and only new messages are forwarded.
